  • 1 year of previous experience in an administrative or office management role is highly desirable.
  • Strong organizational and multitasking abilities, excellent communication skills (both written and verbal), proficiency in MS Office (Word, Excel, PowerPoint), and familiarity with office equipment and software.
  • Personal Attributes: High level of integrity and discretion, strong attention to detail, proactive attitude, and ability to work under pressure.

Responsibilities & Context

The Administrative Executive will work in an office environment and will be expected to manage various administrative tasks efficiently. The role may involve occasional overtime or weekend work to meet deadlines or assist with special projects. This position requires regular interaction with employees at all levels of the organization, as well as external partners and clients.

  • Office Management: Oversee the day-to-day operations of the office, ensuring a productive and efficient work environment. This includes managing office supplies, equipment maintenance, and office space organization.
  • Documentation and Record Keeping: Maintain accurate and organized records, including files, documents, and correspondence. Ensure that all documentation is up-to-date and easily accessible.
  • Communication: Serve as a point of contact for internal and external communications. This includes managing incoming calls, emails, and other correspondence, as well as scheduling meetings and appointments.
  • Support to Management: Provide administrative support to the management team, including preparing reports, handling confidential information, and coordinating meetings and events.
  • Coordination: Coordinate with different departments to facilitate smooth workflow and ensure that administrative tasks are completed efficiently. This includes liaising with HR, finance, and other departments as needed.
  • Travel Arrangements: Arrange travel accommodations, itineraries, and necessary documentation for staff and management when required.
  • Event Planning: Assist in organizing company events, meetings, and conferences, ensuring that all logistical details are managed effectively.
  • Financial Administration: Assist with basic financial tasks such as processing invoices, managing petty cash, and handling expense reports.
  • Compliance: Ensure that the office operates in compliance with company policies and procedures, as well as relevant legal regulations.
