Responsibilities & Context

  • Assist the Head of Department (HOD) in developing policies and Standard Operating Procedures (SOPs) for the Supply Chain Department.
  • Support the HOD in preparing monthly, quarterly, and yearly procurement action plans for the supply chain department.
  • Assist in preparing the company-wide yearly procurement budget for the entire group.
  • Enlist potential and reliable vendors, ensuring that the procurement of materials aligns with material requisitions and procurement policies.
  • Plan and organize purchasing activities for the group from both local and foreign sources to meet targets within competitive price margins.
  • Support the HOD in developing new and alternative procurement sources, maintaining a supplier database with ratings, and identifying the best suppliers for timely delivery of quality products.
  • Introduce supplier assessment techniques and evaluate suppliers to prepare a list for management approval.
  • Ensure cost-effectiveness, efficiency, and quality in procurement to meet organizational standards and timelines.
  • Analyze and develop a detailed list of required items, including consumption frequencies for accurate procurement planning.
  • Ensure all procurement, including equipment, materials, consumables, office supplies, and professional services, follows competitive procedures as per management approval.
  • Ensure timely availability of quality goods/services to prevent disruptions in ongoing projects.
  • Reconcile monthly procurement data from procurement software with physical inventory and ensure the software is consistently updated and accurate.
  • Verify and compare prices from reliable sources to ensure the best price for materials and services.
  • Monitor procurement activities, ensuring compliance with material requisitions, project budgets, and procurement guidelines.
  • Participate in group procurement planning in consultation with the HOD and departmental heads to facilitate purchasing decisions.
  • Ensure timely payments to vendors in coordination with the HOD and relevant departments.
