Responsibilities & Context

Transport & Vehicle Management
  • Develop and implement transport schedules and assign vehicles and routes in coordination with the Admin Manager.

  • Monitor daily vehicle activity, ensuring timely refueling and cleanliness.

  • Record and document any accidents or damages, and process insurance claims with required paperwork.

  • Maintain accurate vehicle logs and inspect standard equipment regularly.

  • Ensure timely refueling from designated stations and coordinate vehicle dispatch effectively.

Vehicle Maintenance
  • Schedule and oversee regular maintenance and servicing of all vehicles.

  • Diagnose mechanical or electrical issues and conduct routine repairs and part replacements.

  • Provide reliable repair estimates and ensure vehicles remain roadworthy.

Cost Control & Reporting
  • Recommend cost-effective transport strategies and oversee fuel usage tracking.

  • Monitor transportation expenses and prepare purchase requisitions and quotations.

  • Manage accurate fuel record-keeping and liaise with fuel station authorities for timely invoice settlement.

General Administration & Procurement
  • Assist with processing requisitions, preparing bidding documents, collecting quotes, and vendor coordination.

  • Oversee procurement processes in compliance with organizational policies and national regulations.

  • Manage building maintenance, utilities, legal compliance of assets, and coordinate safety and security operations.

  • Conduct safety audits and ensure compliance with regulations.

Documentation & Recordkeeping
  • Maintain updated records for all transport, procurement, and compliance activities.

  • Ensure proper filing of licenses, certificates, and administrative documents.

People Management
  • Train and supervise drivers, ensure they are competent and certified.

  • Participate in recruitment, training, and performance evaluations of transport staff.

  • Promote safety culture through audits and individual coaching.
