Responsibilities & Context

The Course Coordinator will play a key role in managing client relations, tracking course payments, and coordinating between different departments, while also assisting with consultancy-related communication.

Client Communication & Course Coordination
* Proactive Client Communication: Monitor and respond to clients reaching out through social media. Assess client interest, follow up proactively, and assist them in selecting the right course.
* Targeted Communication: Adjust communication styles based on the client segment—students preparing to study abroad, labor-class workers looking for certification, or corporate professionals interested in high-end workshops.
* Consultancy Client Communication: Communicate with prospective clients seeking consultancy services related to the F&B, restaurant, and cafe industries. These clients are typically new entrepreneurs or existing business owners.
* Payment Tracking & Facilitation: Explain payment procedures to clients, track payments, and ensure the accounts or training accounts department confirms payment receipt. Maintain payment summaries for accurate record-keeping.
* Course Material & Certificate Management: Ensure timely distribution of course materials (both digital and printed), coordinate the printing of certificates, and facilitate the distribution of certificates and other relevant documents once the course is completed.
* Sales & Client Engagement: Highlight the benefits of our training program and consultancy services, including international recognition, top-tier trainers, the prestige of our certification, and consultancy expertise. Address concerns about fees and differentiate our program and consultancy from competitors.

Cross-Departmental Coordination
* Departmental Communication: Collaborate with trainers, management, accounts, and course participants to ensure smooth course operations.
* Consultancy Coordination: Coordinate with the head trainer or consultant to facilitate communication with high-value consultancy clients.
* Course Material Distribution: Oversee the distribution of all printed and digital materials throughout the course, including certificates.
* Efficient Follow-Up: Use Excel or Google Sheets to track client queries, payment statuses, and ensure all follow-ups are timely and accurate.

Targeted Client Engagement
* Segmented Communication: Adjust communication styles for different client segments, such as corporate professionals, students going abroad, and labor-class workers.
* Lead Nurturing: Guide clients through the decision-making process, emphasizing the unique selling points (USPs) of our program and consultancy services, such as international recognition and the prestigious certification.
