  • Familiarity with CRM systems, ticketing tools, or helpdesk software
  • Proficiency in basic computer applications (MS Office, email, web browsing)
  • Typing speed of 30–40 WPM with accuracy
  • ability to remain calm and courteous, even under pressure
  • Attention to detail in handling customer data and resolving issues
  • Fast learner with a customer-first mindset

Responsibilities & Context

1. Customer Interaction

  • Handle incoming calls, emails, chats, or messages from customers

  • Respond to customer inquiries about products, services, or orders

  • Greet and assist walk-in customers (if in a physical office or store)

2. Complaint Resolution

  • Listen to customer complaints and concerns patiently

  • Provide accurate solutions or escalate issues to the concerned department

  • Follow up to ensure the issue is resolved and the customer is satisfied

3. Order & Account Management

  • Assist customers with placing, tracking, or modifying orders

  • Help with account creation, updates, and troubleshooting

  • Process returns, refunds, or exchanges as per company policy

4. Record Keeping & Reporting

  • Maintain records of customer interactions and transactions

  • Update customer information in CRM or internal systems

  • Prepare daily or weekly reports on service requests or issues resolved

5. Product Knowledge

  • Stay updated on the company’s products, services, and policies

  • Educate customers about new products, features, or offers

  • Provide accurate technical or usage support if required

6. Relationship Building

  • Develop positive relationships with customers to enhance brand loyalty

  • Offer personalized service where possible

  • Take customer feedback and suggest improvements to management

7. SLA & Quality Adherence

  • Ensure customer issues are resolved within agreed timelines (SLA)

  • Maintain high standards of service quality and professionalism

  • Comply with company policies, procedures, and ethical standards
