Organization Overview:

Position Summary:
The Finance & Admin Officer will be responsible for overseeing the financial and administrative operations of the awareness and training project, ensuring full compliance with approved budgets, donor conditions, and project documentation. Reporting directly to the Project Manager, the role includes financial monitoring, reporting, procurement coordination, and logistical support. The officer will collaborate with a multidisciplinary team to maintain precise records and support the effective organization of project activities, playing a vital role in the efficient management of resources, particularly for field-based operations.

Financial Management & Budget Compliance:

  • Oversee project budgets, ensuring all expenditures are accurately recorded and aligned with project and donor guidelines.

  • Monitor financial activities to confirm adherence to approved budgets and donor regulations.

  • Prepare monthly, quarterly, and annual financial reports for internal use and donor submission, ensuring accuracy and transparency.

  • Coordinate closely with the finance team to manage cash flow and facilitate timely fund disbursement for project activities.

Procurement & Logistics:

  • Manage procurement processes to ensure goods and services support project objectives and comply with donor policies.

  • Coordinate vendor sourcing, quotation collection, and selection to achieve value for money.

  • Arrange logistics for project events, including venue management, travel coordination, and resource support for trainings, workshops, and community outreach.

Administrative & HR Support:

  • Support HR functions such as staff onboarding and ensure compliance with organizational and project-specific policies.

  • Maintain well-organized project documentation, including financial records, procurement files, and personnel information.

  • Assist in planning and executing project events, ensuring activities run smoothly and according to timelines.

Compliance & Audit:

  • Ensure adherence to donor requirements, financial reporting standards, and audit procedures.

  • Coordinate with internal and external auditors to maintain audit-ready financial records.

  • Implement corrective measures based on audit recommendations to uphold financial accountability.

Coordination & Support:

  • Work closely with the Project Manager and senior leadership to optimize resource utilization and ensure timely project delivery.

  • Provide guidance to project staff on financial procedures, procurement rules, and logistical arrangements.

  • Collaborate with other departments to align administrative and financial activities with project objectives and schedules.

Safeguarding:

  • Promote and uphold the organization’s safeguarding policies to protect the safety, dignity, and well-being of children, youth, and vulnerable adults involved in project activities.

  • Promptly report any safeguarding concerns or incidents in accordance with established procedures.

  • Maintain professional conduct and boundaries that contribute to a safe, respectful, and inclusive environment for beneficiaries, colleagues, and stakeholders.
