• Oversee the daily housekeeping of production floors and factory premises through the coordination of admin officers, cleaning supervisors, cleaners, janitors, and gardeners, ensuring cleanliness and order.
• Cost Management:
• Implement effective strategies and guidelines to reduce administration-related costs, including stationery, overtime for administrative personnel, security, canteen, transport, cleaning materials, and official entertainment.
• Compliance Monitoring:
• Lead efforts to monitor compliance with legal and regulatory requirements, including permits, child labor, forced labor, harassment, working hours, wages & benefits, maternity rights, health & safety, environmental (ETP) standards, and security.
• Take corrective actions as necessary to ensure adherence.
• Document Management and Government Compliance:
• Maintain proper documentation of office work for record-keeping, correspondence, and file updates.
• Ensure timely submission of government returns and payment of bills (e.g., telephone, electricity, water, gas, postal) while maintaining accurate records.
• Audit and Reporting:
• Conduct regular internal and external audits at all production locations.
• Provide detailed reports and follow-up with department and unit heads to ensure implementation of recommended actions.
• Training and Development:
• Provide training sessions on topics such as COC, PPE, Fire Safety, First Aid, Health & Safety, and Building Maintenance for relevant staff members.
• Continuous Improvement and Best Practices:
• Strive to achieve continuous improvement by adhering to world-class administrative practices, ensuring compliance with industry standards, especially in the apparel sector.
• Environmental Sustainability:
• Implement procedures to maintain environmental sustainability, develop systems for monitoring, and ensure appropriate disciplinary actions where necessary.
• Buyer and Auditor Coordination:
• Act as the liaison when buyer representatives or auditors visit the factory, ensuring smooth coordination and compliance with required standards.
• Logistics and Transport Management:
• Oversee administrative, transport, and logistics operations in accordance with company policies, ensuring efficiency and cost-effectiveness.
• Security and Safety:
• Monitor the day-to-day operations of the security force to ensure the safety and security of personnel and resources within the factory.
• Ensure proper arrangements for C-TPAT and other safety audits to pass with the highest grade.
• Liaison with Regulatory Bodies:
• Maintain communication with relevant government and private stakeholders, including BGMEA, BKMEA, BEPZA, fire & civil defense, labor court, government agencies, labor organizations, and environmental offices.
• Monitor and follow up on licenses, court cases, and workers' grievances.
• Additional Tasks:
• Perform any other tasks assigned by management as needed.
