Responsibilities & Context

  1. Strategic Leadership & Oversight (15%)

    • Lead the development and review of country-specific policies, ensuring compliance with IRW standards.
    • Analyze historical data to drive continuous operational improvements.
    • Contribute to Country Management Team and Field Office Meetings, leading decisions that impact operations.
    • Ensure effective coordination between Programme, Finance, and other teams for seamless delivery of goods and services.
  2. Procurement & Supply Chain Management (30%)

    • Manage relationships with vendors, suppliers, and industry bodies to ensure smooth delivery of goods and services.
    • Oversee procurement processes, ensuring compliance with local regulations and timely processing.
    • Supervise contract management and ensure proper vetting of third-party vendors.
    • Collaborate with finance to ensure adherence to payment schedules.
    • Participate in project procurement planning and ensure vendor screening by IRW-HQ.
  3. Logistics Management (15%)

    • Supervise fleet management, including vehicle maintenance, fuel usage, and driver scheduling.
    • Ensure warehouse operations comply with national standards and IRW guidelines.
    • Oversee logistics for non-program material aid, including customs clearance and importation processes.
    • Support logistics during emergencies and contribute to assessments, partner evaluations, and field activities.
    • Prepare and consolidate logistics reports for donors and authorities.
  4. Administration & IT Support (10%)

    • Implement administrative and asset management systems according to IRW guidelines.
    • Manage facilities, office space, leases, and housing requirements, ensuring compliance with security standards.
    • Oversee asset tracking and maintain accurate records of IRB and donor assets.
    • Coordinate visa processing for expatriates and donors, ensuring transparency and legal compliance in all contracts.
    • Supervise IT personnel to provide necessary support for the team’s needs.
  5. Government Compliance (10%)

    • Ensure compliance with local laws and regulations in all operational processes.
  6. Team Management (5%)

    • Oversee staff performance, set job expectations, and ensure adherence to operational policies and procedures.
  7. Security Management (5%)

    • Ensure security measures are in place across all offices, warehouses, and field operations to safeguard personnel and assets.
  8. Representation & Travel (10%)

    • Represent the organization in various external engagements, managing travel logistics and facilitating international and local coordination.
