Responsibilities & Context

  • Responsible for opening and closing (locking) the office premises daily.
  • Maintain cleanliness in the office premises and washrooms, ensuring all furniture and equipment are kept tidy during office hours.
  • Prepare and serve tea or other refreshments during office hours and meetings as needed.
  • Ensure the availability of safe drinking water for staff and guests/visitors.
  • Provide support for photocopying, spiral binding, and laminating as required.
  • Ensure that all visitors and guests are properly attended to, maintain the visitor register, and ensure the safety and security of guests at all times.
  • Ensure timely and proper distribution of all types of documents from desk to desk.
  • Conduct banking-related tasks such as telegraphic transfers (TT), demand drafts (DD), pay orders, certificates, and salary processing as required by the assigned finance personnel in the field office.
  • Provide stationery items according to the daily requirements of different departments.
  • Ensure all electronic equipment and assets are repaired, checked, and maintained as needed (at least biweekly).
  • Ensure that all safety equipment is available on the office premises and that they are up-to-date.
  • Check the functionality of power switches, bulbs, clocks, air conditioning, and other electrical appliances on every floor/room daily.
  • Ensure a fully stocked first aid kit is available on the premises, maintaining all prescribed items accordingly.
  • Responsible for collecting and delivering mail, goods, and other communications to and from various offices, as well as sending and receiving documents/goods through courier services.
  • Maintain daily dispatch records for outgoing and incoming letters, documents, and goods.
  • Answer phone calls with proper telephone etiquette and standard greetings.
  • Accountable for maintaining and managing all office keys.
