• The Monitoring & Documentation Coordinator is responsible for designing and managing monitoring and documentation systems aligned with project requirements. This role involves capturing best practices, conducting field visits, strengthening communication skills, and enhancing report-writing capabilities for project staff and stakeholders.
• Additionally, the coordinator documents project activities through reports, photos, social media, and newsletters while ensuring findings are shared with relevant internal and external stakeholders. The position also involves developing a user-friendly feedback framework and providing training on monitoring, data analysis, and evaluation.
• Key Responsibilities:
• 1. Monitoring & Documentation:
• Conduct regular data analysis and provide feedback in line with project timelines and management needs.
• Coordinate with Project Managers, District Facilitators, Finance Coordinators, and field teams to conduct site visits for activity tracking.
• Contribute to monthly, quarterly, and annual reports, including GPS-based online reporting for clients and donors.
• Refine and track key indicators and targets with project staff.
• Develop and implement data collection tools using Kobo software.
• Establish data quality assurance systems and provide constructive feedback for improvement.
• Maintain close collaboration with LAMB MIS-R to ensure timely data reporting.
• 2. Service Delivery & Documentation:
• Develop high-quality documentation on project processes, achievements, challenges, and lessons learned.
• Design and coordinate the printing of IEC (Information, Education & Communication) and BCC (Behavior Change Communication) materials.
• Produce case studies, best practices, newsletters, e-bulletins, and advocacy materials.
• Maintain an electronic documentation system to track project implementation at the organizational level.
• Support liaison efforts with government departments at Upazila, district, and divisional levels to facilitate project activities.
• Assist the project team with program implementation and field monitoring.
• 3. Networking & Dissemination:
• Represent the project in coordination meetings, workshops, and seminars at relevant health and administrative levels (UHC, CS, DD-SS, DD-WCA, Division level).
• Organize training sessions, workshops, and meetings for local government and NGOs.
• Build strong relationships with local administration, NGOs, and media representatives (both print and electronic).
• Assist in developing a network of like-minded NGOs and journalists to enhance project visibility and impact.
• 4. Integration of Spiritual, Emotional, and Social Health:
• Facilitate prayers before meetings, training sessions, and seminars to uphold organizational values.
• Uphold and explain LAMB’s mission, vision, and logo to stakeholders.
• Serve as a role model in implementing project activities in alignment with LAMB’s core values.
• Ensure compliance with child protection, health & safety, equal opportunity policies, and other relevant guidelines.
• 5. Meetings & Knowledge Sharing:
• Attend monthly staff meetings, CHDP coordination meetings, and relevant community group discussions.
• Lead knowledge dissemination efforts related to the rehabilitation model and best practices.
• Assist in organizing national and regional conferences for experience-sharing and advocacy.
• 6. Project Monitoring, Evaluation, & Quality Control:
• Develop and oversee the monitoring, reporting, and documentation plan for the project.
• Monitor the SRMNCAH project’s assessment, consultation, and service delivery.
• Supervise project staff and ensure alignment with budgetary guidelines.
• Support impact evaluation studies to assess project effectiveness.
• Collect and analyze data for donor reporting and submit reports in consultation with the Project Manager.
• Develop monitoring tools and schedules to ensure periodic evaluations and reviews.
• Implement Quality Assurance (QA) standards for project activities.
• Ensure lessons learned are well-documented and contribute to organizational learning.
• 7. Reporting & Compliance:
• Prepare semi-annual and annual progress reports to capture key project milestones.
• Produce quarterly financial and programmatic reports to track project execution.
• Submit monthly data reports to update the CHDP dashboard and monitor implementation progress.
