Responsibilities & Context

Supervision & Training

  • Supervise, train, and motivate office assistants, ensuring an effective balance of the workload.
  • Provide ongoing guidance and support to ensure team members meet performance expectations.
Security & Safety
  • Enforce strict security protocols within the office premises to ensure the safety of employees and assets.
  • Maintain a secure environment both inside and outside the office.
  • Office Maintenance & Environment
  • Ensure the office environment is clean, safe, and hygienic at all times, maintaining high standards of workplace cleanliness.
  • Coordinate office facilities maintenance to support a comfortable working environment.
Customer Service & Hospitality
  • Treat all employees, guests, and visitors with respect, offering professional hospitality.
  • Ensure a positive and welcoming office atmosphere for all.
  • Inventory Management
  • Keep real-time updates of office inventory and supplies to prevent shortages or excesses.
  • Monitor stock levels and order office supplies as needed.
Communication Management
  • Efficiently manage incoming phone calls, emails, and other correspondence, ensuring timely responses.
  • Coordinate and schedule meetings and appointments for executives, ensuring smooth office operations.
  • Kitchen & Meal Management
  • Oversee the management of office meals, grocery expenses, and kitchen activities to ensure that resources are utilized effectively.
  • Monitor kitchen cleanliness and proper stock management.
Financial Recordkeeping
  • Update and maintain financial records, including purchases, rents, and utility bills, ensuring accuracy and timely payments.
  • Assist in budget tracking and expense management.
Protocol & Compliance
  • Ensure all office protocols are adhered to and monitor compliance across various functions.
  • Regularly review office procedures and suggest improvements.
  • Corporate Social Responsibility (CSR)
  • Coordinate and implement the company's CSR initiatives across departments, ensuring active participation and alignment with company values.
  • Track and report on the progress of CSR activities.
Driver & Security Duties
  • Oversee and follow up on driver duties, ensuring they are executed efficiently.
  • Conduct regular security checkups and ensure the safety of office premises and staff.
  • Interdepartmental Coordination
  • Act as a liaison between departments, facilitating effective communication and collaboration across teams.
  • Ensure smooth interaction and workflow between different office functions.
  • Strong leadership and supervisory skills to manage and motivate office staff.
  • Attention to detail in inventory and financial management.
  • Excellent communication and coordination abilities.
  • Proficiency in maintaining office safety and security protocols.
  • Ability to maintain a clean, safe, and welcoming office environment.
