An Office Executive plays a crucial role in ensuring the smooth operation of the office. This position involves managing administrative tasks, supporting staff, and maintaining a productive work environment. The Office Executive will report to the Office Manager and collaborate with various departments to meet organizational goals.Key Responsibilities:Administrative Support:Manage and maintain office files and records.Handle incoming and outgoing correspondence, including emails, calls, and mail.Schedule and coordinate meetings, appointments, and travel arrangements.Office Management:Oversee the maintenance of office facilities and equipment.
Ensure the office is clean, organized, and stocked with necessary supplies.Liaise with vendors and service providers for office needs.
Financial Tasks:Assist in preparing and processing invoices, expense reports, and purchase orders.
Maintain and reconcile petty cash and other financial records.Support the finance department with budgeting and financial planning.
Human Resources Support:Assist with onboarding new employees, including orientation and training.
Maintain employee records and manage attendance tracking.Support HR with organizing staff events and employee engagement activities.Communication:Serve as the point of contact for internal and external communication.
Prepare and distribute internal communications, such as memos and announcements.
Coordinate with other departments to ensure information flow and task completion.
