Additionally, the organization supports government initiatives such as TB screening, EPI, and Covid-19 vaccination programs.
The Officer, Accounts and Admin plays a key role in ensuring smooth clinic operations by overseeing financial management and reporting, quality of care, facility maintenance, procurement of supplies and medicines, and overall administrative support. This is a contractual position, based in various locations.
Key Responsibilities
Accounts:
Maintain daily financial records using accounting software.
Prepare bank vouchers and manage check writing and checkbook maintenance.
Keep accurate Bank and Cash Registers up to date.
Prepare petty cash vouchers and maintain the petty cash register.
Prepare timesheets and honoraria sheets in consultation with the Clinic Manager and submit them to the bank with necessary instructions.
Process payments only after all required documentation and approvals are in place.
Safeguard clinic cash and checkbooks.
Reimburse staff travel and per diem expenses.
Collect and reconcile bank statements as needed.
Ensure staff signatures on salary, benefits, and honoraria registers.
Adhere strictly to MCP, TIAHRT, and Helms Amendment guidelines.
Procurement & Stock Management:
Collect contraceptives and logistics from Thana/Upazila Health and Family Planning Office.
Manage inventory of contraceptives, medicines (including Revolving Drug Fund stock), and other clinic/office supplies.
Maintain records of consumables and fixed assets.
Operate the Health Care Mart (where applicable) and manage daily medicine dispensing at Vital/Ultra clinics.
Arrange procurement in line with budget and Clinic Manager’s decisions.
Administrative:
Maintain the Human Resource Management Manual for SHN clinics.
Keep updated personnel files and records for all clinic staff.
Support the Clinic Manager with report preparation and documentation.
Log incoming correspondence and maintain a correspondence register.
Maintain staff movement records, attendance, and leave registers.
Prepare work plans for clinic staff.
Draft MOUs for on-call or part-time staff as required.
