Responsibilities & Context

  • Support HR and Administrative Leadership: Assist the HR and Administrative Head in ensuring the smooth operation of the university.
  • Proficiency in ERP Software: Have a strong understanding of ERP software to facilitate various administrative tasks.
  • Housekeeping Oversight: Follow up on daily housekeeping activities to maintain a clean and organized workplace.
  • Asset and Equipment Management: Record, monitor, and ensure proper management and maintenance of company assets, equipment, vehicles, and safety/security issues.
  • Employee File Maintenance: Ensure all employee personal files are maintained with both hard and digital copies.
  • Appointment Letter Preparation: Prepare appointment letters for new hires and staff.
  • Staff Monitoring: Supervise supporting staff to ensure efficient operations.
  • Classroom and Facility Oversight: Regularly check all classrooms and floors within the university premises for cleanliness and functionality.
  • Candidate Documentation Management: Collect, record, and file candidate documentation systematically.
  • Time Clocking System Management: Manage the time clocking system for office staff, ensuring timely submission, approval, and accurate filing of records.
  • Attendance Monitoring: Oversee employee daily attendance, office time roster, leave requests, and swaps.
  • Administrative Function Oversight: Ensure all administrative functions operate smoothly and efficiently.
  • Employee Relations Resolution: Collaborate with senior management to resolve employee relations issues effectively and thoughtfully.
  • Investigation of Employee Issues: Investigate employee relations matters and ensure that HR-related decisions are consistent and equitable.
  • Part-Time Faculty Billing Check: Review part-time faculty semester bills in conjunction with other administrative bills.
  • Job Advertisement Management: Publish and remove job advertisements as per departmental requirements.
  • Additional Responsibilities: Perform any tasks assigned by university authorities as needed.
  • HR Background Requirement: Applicants should possess an HR background and hold a graduate or postgraduate degree in BBA/MBA with a specialization in HRM.
