This role is responsible for managing the daily administrative and accounting operations of the staff canteen. The position ensures smooth and efficient canteen functioning by maintaining proper kitchen hygiene, accurate meal and financial records, and systematic procurement and reporting processes.
Financial & Administrative Management
Maintain accurate daily records of cash flow, expenses, ledgers, vouchers, and related financial documents
Reconcile vendor invoices to ensure timely and correct payments
Prepare daily, weekly, and monthly financial reports, monitoring budget usage and flagging any variances or overspending
Manage payroll processing for canteen staff
Procurement & Inventory Control
Keep updated records of food stock, groceries, and consumables
Coordinate with vendors and suppliers to ensure timely purchase of necessary materials
Participate in purchase committee meetings and bulk purchasing days
Invite and compare vendor quotations, and prepare work orders for selected suppliers
Retrieve meal orders from the online portal and ensure timely procurement from approved vendors or local markets as required
Operations & Compliance
Ensure strict compliance with food safety, hygiene, and health standards
Oversee staff schedules, attendance, and leave management
Supervise meal preparation and distribution while maintaining cleanliness of floors and utensils
Maintain documentation for internal and external audits, vendor agreements, and contracts
Conduct monthly stock audits and inventory reconciliations
Relationship & Performance Management
Build and maintain professional relationships with canteen staff and food vendors
Monitor staff performance, report issues promptly to management, and support vendor evaluation and contract negotiations for quality and cost-effectiveness
Ensure the protection of programme participants, visitors, and team members from harm, abuse, neglect, harassment, and exploitation, including Sexual Exploitation and Abuse (SEA)
Serve as a resource for guidance and support on safeguarding issues, creating a safe work environment
Promote and implement BRAC’s safeguarding policy in all activities
Follow the safeguarding reporting procedure for any incidents and encourage others to report as well
