  • Familiarity with university policies and procedures.
  • Basic understanding of official documentation and compliance requirements.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Excellent interpersonal skills and the ability to collaborate effectively with diverse stakeholders.

Responsibilities & Context

The Personal Secretary to the Vice Chancellor (PS to VC) provides comprehensive administrative and organizational support to ensure the efficient operation of the Vice Chancellor’s office. This role requires exceptional multitasking skills, strong communication abilities in both English and Bangla, and the capacity to handle confidential and sensitive information with discretion. The PS must also be proficient in drafting and report writing in both languages.

Administrative Support:

  • Manage the Vice Chancellor’s calendar, scheduling meetings, appointments, and events.
  • Prepare, review, and organize correspondence, reports, and other official documents.
  • Coordinate and arrange meetings, including preparing agendas, taking notes, drafting minutes, and following up on action items.
  • Organize and manage travel arrangements for the VC, including booking flights, accommodations, and transportation when necessary.

Communication Management:

  • Serve as the primary point of contact between the VC and other university officials, staff, students, and external stakeholders.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and messages, ensuring prompt and accurate responses.

Confidentiality and Discretion:

  • Manage confidential and sensitive information with the highest level of discretion.
  • Assist the VC by providing relevant information and preparing briefing materials for decision-making.

Event Planning and Coordination:

  • Plan and coordinate events such as conferences, workshops, and university ceremonies involving the VC.
  • Manage invitations, RSVPs, and arrangements for visiting dignitaries or guests.

Operational Support:

  • Oversee the day-to-day operations of the VC’s office, ensuring efficiency and smooth functioning.
  • Ensure the VC’s office is well-equipped with necessary materials and resources.
  • Provide basic technical support for office equipment and software.

Relationship Management:

  • Build and maintain positive relationships with internal and external stakeholders.
  • Support the VC in maintaining a positive public image and manage interactions with the media when necessary.

Project Assistance:

  • Assist the VC with special projects, including research, data collection, and preparation of presentations.
  • Monitor the progress of initiatives, ensuring deadlines are met and objectives are achieved.

Legal and Compliance Support:

  • Ensure adherence to university policies and relevant regulations within the VC’s office.
  • Assist in the preparation and filing of official and personal documents as needed.

Drafting and Report Writing:

  • Demonstrate proficiency in drafting official documents, letters, and reports in both English and Bangla.
  • Prepare high-quality reports, ensuring accuracy, clarity, and adherence to university standards.
