• Oversee the overall activities of the Export and Import section, ensuring smooth coordination with other departments within the Commercial division (Customs, Bank, Audit, BKMEA, and BGMEA).
• Collaborate regularly with the Marketing, Merchandising, Accounts, and Finance departments to ensure effective shipment scheduling and fund management.
• Prepare and submit reports as required by management for necessary actions.
• Monitor the activities of the commercial department, coordinating with both internal teams and external entities such as government offices, local vendors, foreign customers, and banks.
• Manage correspondence with vendors and foreign buyers via email, ensuring timely communication of export documents.
• Follow up on payment realization and maintain strong relationships with existing customers to meet their requirements effectively.
• Lead and manage a team, ensuring optimal performance and coordination across all commercial operations.
• Resolve issues related to contracts and commercial operations, including the issuance of Proforma Invoices (PI), Letter of Credit (L/C) amendments, and ensuring compliance with Bangladesh Bank rules and regulations.
• Ensure the smooth execution of export and import activities, including shipment conditions, buyer-seller negotiations, and payment realizations.
• Maintain regular communication with relevant agencies, trade bodies, banks, shipping lines, C&F agents, transport agents, insurance companies, VAT department, and the production department.
• Monitor raw material and packing material procurement, ensuring correct HS code selection to facilitate smooth customs clearance and minimize costs.
• Coordinate with confirming banks for the addition of export L/C confirmation at competitive rates.
• Issue consumption reports and maintain the bond register, handling all import/export-related activities within the commercial scope.
• Address any L/C-related issues for both import and export transactions, ensuring smooth coordination with logistics, CS, and C&F teams for timely deliveries.
• Prepare and update consumption statements when C&F agents come to collect goods from the premises.
• Track and update delivery statuses, and prepare relevant audit reports such as the Export Proceed Realization Certificate and Import-Export Performance of Fabrics & Accessories reports.
• Maintain accurate manual and computerized records for original documents submitted to the bank.
• Keep detailed records of back-to-back L/C performance and update the system accordingly.
• Regularly obtain and update Bill numbers, realized values, and courier tracking numbers from the bank.
• Notify the authority of BTB amounts and due payment dates on a monthly basis.
• Update the EP status after preparing shipping documents.
• Handle any other related activities as required by management.
