Responsibilities & Context

HR Operations Management

  • Oversee and streamline HR processes to ensure efficiency, accuracy, and compliance with company policies.

  • Manage smooth onboarding and offboarding processes, including documentation and employee induction.

  • Maintain and update accurate and confidential employee records.

  • Monitor key HR metrics (e.g., attrition, headcount, absenteeism, turnover) and generate regular reports for management.

  • Issue various letters and certificates (e.g., NOC, experience letters, employment certificates) as required.

  • Track project and tranche closures, and issue contract letters in alignment with approved project proposals.

Leave & Attendance Management

  • Ensure accurate tracking and reporting of employee leave entitlements and absences using HR software and tools.

  • Manage all types of leave in accordance with the BRAC HR Policy and Procedures (HRPP).

  • Communicate with staff regarding any non-compliance issues.

  • Conduct data analysis and take proactive measures to address attendance and leave discrepancies.

  • Coordinate with the Head Office (HO) to resolve critical cases.

  • Prepare monthly leave and attendance reports as needed.

Transfer & Separation Processes

  • Handle end-to-end transfer procedures (e.g., branch or project transfers), ensuring compliance and updating HRIS records accordingly.

  • Liaise with support units to resolve transfer-related issues.

  • Ensure smooth offboarding and complete separation documentation in HRIS.

  • Coordinate final settlement payments in line with the Standard Operating Procedures (SOP).

Payroll Support & Audit Coordination

  • Assist in payroll processing to ensure timely and accurate salary disbursements.

  • Update salary, designation, and allowance information as necessary.

  • Prepare letters related to salary adjustments or changes in employment status.

  • Provide necessary documentation and records for internal and external audits, including payroll, tax, and benefits data.


HR Systems & Data Management

  • Maintain and regularly update the Human Resource Information System (HRIS).

  • Generate system-based reports for tracking and analyzing HR metrics.

  • Support HRIS upgrades or system enhancements as required.


Interdepartmental Communication & Reporting

  • Communicate with unit focal points, branch managers, and branch accounts teams regarding leave, transfers, attendance, and payroll issues.

  • Prepare and circulate memos, circulars, and system updates.

  • Maintain and update the HR dashboard.

  • Produce various reports (leave, transfer, salary, emergency) as required.

  • Collaborate with cross-functional teams to ensure successful and timely execution of HR-related projects.

  • Provide support to other departments as needed.


Process Improvement

  • Identify areas for operational improvements and propose solutions to enhance HR efficiency.

  • Assist in automating HR tasks and implementing technology solutions to streamline processes.


Safeguarding Responsibilities

  • Ensure the safety of program participants, staff, and all individuals who come into contact with the organization from harm, abuse, neglect, harassment, and exploitation, including sexual exploitation and abuse (SEA).

  • Serve as a resource for safeguarding practices and help maintain a safe working environment.

  • Promote safeguarding policies among team members and ensure these standards are integrated into all activities.

  • Follow the organization’s safeguarding reporting procedures and encourage others to report any incidents.
