  • Diploma in any discipline. Preferable in Mechanical/Electrical discipline.      
  • Minimum two year of experience in Office assistance and support of project staff.          
  • Strong team player who communicates and shares with other team members ·         
  • Punctual and good at time management and strong relationship building skill.

  • Profecient language in Bangla & English.

Responsibilities & Context

  • Ensure that all invoices are stamped, signed, and registered in the appropriate administrative system.
  • Verify that all supporting documents related to the invoice are submitted and ready for processing.
  • Record all process steps, ensuring accurate and complete documentation in the administrative system.
  • Ensure that suppliers collect their payment cheques and file a copy of their identity card, when necessary.
  • Acknowledge the receipt of payment cheques by having suppliers sign the appropriate collection register.
  • Follow up on delayed payments, promptly informing suppliers about the status and any issues.
  • Compliance:
  • Inform the Project Coordinator of any issues requiring technical advice and submit supplier complaints for follow-up or feedback.
  • Office Maintenance:
  • Ensure that all office furniture, fixtures, equipment, and materials, including the generator, are maintained in good working condition.
  • Integrity:
  • Adhere to the organization’s Code of Conduct and integrity policies at all times.
  • Report concerns and actively participate in regular integrity training sessions.
  • Other Duties:
  • Perform any other duties as assigned by the manager to support the smooth running of the office and projects.
  • Qualifications & Skills:
  • Proven experience in accounts or administrative support roles, with knowledge of invoice processing and payment systems.
  • Strong attention to detail and organizational skills.
  • Ability to communicate clearly and follow up on payment-related issues.
  • Proficiency in using administrative systems and maintaining accurate records.
  • Ability to maintain a professional relationship with suppliers and follow compliance protocols.
  • Personal Attributes:
  • Strong sense of integrity and responsibility.
  • Ability to maintain confidentiality and manage sensitive information.
  • Proactive and able to identify and resolve issues promptly.
  • Flexible and willing to take on new responsibilities as required.
