  • Education: Master’s degree in Business Administration, Management, Supply Chain Management, Public Administration, or a related field
    • Professional certifications such as CIPS, CPSM are an added advantage

  • Experience: Minimum 8–10 years of relevant work experience with reputed organizations, NGOs, or INGOs
  • Skills & Knowledge:
    • Strong skills in procurement planning, budgeting, report writing, and progress tracking

    • Excellent command over Bangla and English (both verbal and written)

    • Competence in drafting, decision-making, and administrative functions

  • Core Competencies:
    • Strong leadership, interpersonal, and management skills
    • High level of integrity, flexibility, proactivity, and respect for gender and diversity
    • Ability to work under pressure, prioritize tasks, and meet tight deadlines

Responsibilities & Context

Responsibilities & Context
The Coordinator – Admin is responsible for delivering administrative, procurement, logistics, and security services, ensuring compliance with WaterAid’s policies and relevant government regulations. The role involves managing daily operations, supporting procurement processes, maintaining NGOAB compliance, and fostering cross-departmental coordination.
Key Responsibilities:
A. Administration & Office Management
  • Provide timely support for overall office operations and ensure smooth functioning of utilities, vehicles, and equipment

  • Manage and renew service contracts with third-party providers

B. Security
  • Act as the security focal point, ensuring safety measures, emergency readiness, and hygiene compliance

C. General Purchase & Procurement
  • Prepare annual procurement plans and execute purchases in line with organizational guidelines

  • Maintain approved vendor lists and ensure value-for-money in procurement

D. Consultant Hiring & Contract Administration
  • Assist in drafting ToRs, RFPs, RFQs

  • Manage consultant recruitment, contract negotiation, and agreement finalization

E. Logistics
  • Handle travel logistics, including ticketing, visa, and accommodation for staff and guests

  • Coordinate national and international events and ensure quality service delivery

F. Inventory & Asset Management
  • Maintain and update inventory and asset registers in compliance with policy

  • Conduct annual verification, oversee asset disposal, and handle insurance claims

G. NGOAB Compliance
  • Ensure timely submission of necessary documents for project approvals, extensions, and compliance with the NGO Affairs Bureau

  • Maintain strong relationships with relevant ministries and authorities

H. People Management
  • Supervise and support admin team performance
  • Facilitate staff development, capacity building, and ensure quality service delivery
