Job Summary

PROTTYASH is a social development organization dedicated to improving the lives of disadvantaged populations in Bangladesh. Since its inception, the organization has focused on ensuring that all individuals can live with dignity and opportunity. As part of its ongoing efforts, PROTTYASH is preparing to implement the third phase of the project “Unity in Action: Cultivating Sustainable Livelihoods, Community Leadership and Social Harmony in addressing Climate Challenges in Host and Rohingya Communities”, in partnership with Oxfam in Bangladesh (OiBD). This project aims to promote inclusive development, sustainable livelihoods, gender equality, and community protection in Rohingya camps and neighboring host communities.

To support this initiative, PROTTYASH is seeking applications for the position of Monitoring & Documentation Officer. This role is ideal for candidates passionate about contributing to humanitarian efforts in the Cox’s Bazar region.


Reporting Structure

The Monitoring & Documentation Officer will report directly to the Senior Program Officer (MEAL) at PROTTYASH. The role involves close collaboration with peers, project teams, and other key units across the organization, both in operational and programmatic areas.


Key Responsibilities (Paraphrased)

  • Develop and implement a Monitoring and Evaluation (M&E) system for the Unity in Action Phase III project, in line with PROTTYASH’s guidelines and standards.

  • Oversee participant identification and verification processes to ensure accurate project enrolment.

  • Design and prepare data collection tools in Kobo (e.g., surveys, checklists, templates) and finalize participant lists using vulnerability scoring methods.

  • Conduct regular real-time monitoring and validate collected data.

  • Ensure data quality according to the M&E plan, data flow diagrams, and organizational quality standards.

  • Generate ongoing process and periodic performance monitoring reports.

  • Perform trend analysis to support project reporting and inform evidence-based decisions.

  • Support the Project Coordinator in reviewing and preparing project reports.

  • Visit field sites regularly to monitor project processes and offer constructive feedback to enhance program delivery and quality.

  • Assist with project evaluations (baseline, mid-term, final), assessments, and data quality checks.

  • Implement systems for participant feedback and accountability; ensure proper documentation and follow-up on feedback.

  • Manage and update the project’s MIS, ensuring timely and accurate data entry as per the M&E plan.

  • Analyze collected data and share findings with project teams, including actionable insights and recommendations.

  • Work with the MEAL team to document success stories, key lessons learned, and effective practices.

  • Conduct training and provide ongoing support to project staff and field teams on M&E, MIS, and data quality.

  • Perform any additional tasks as directed by PROTTYASH program management.

  • Prepare and submit weekly progress reports, 5W matrices, and documentation of events.

  • Maintain comprehensive records of participant lists, attendance sheets, and muster rolls, in line with donor requirements.

  • Ensure timely submission of program plans, purchase requests, and documentation for effective monitoring.
