Knowledge Areas:

  • Proficient in ERP systems and data management tools
  • Excellent communication and stakeholder coordination skills
  • In-depth understanding of labour laws and HR best practices
  • Ability to handle confidential and sensitive employee matters with discretion

Responsibilities & Context

1. Onboarding & Orientation
  • Lead the end-to-end onboarding process for new staff ensuring clarity on organizational policies and culture

  • Coordinate and facilitate orientation programs, employee engagement activities, and awareness sessions (e.g. Performance Management System, well-being, etc.)

2. Volunteer Recruitment
  • Manage the full volunteer recruitment lifecycle from screening to onboarding

  • Maintain accurate records, ensure adherence to SOPs, and generate regular analytical reports

3. Attendance & Leave Administration
  • Oversee attendance and leave tracking systems, resolve discrepancies, and ensure alignment with policy

  • Support the payroll process through accurate validation of records and coordination with payroll staff

4. Employee Separation & Transfers
  • Administer exit processes, conduct interviews, finalize clearances, and provide turnover insights

  • Ensure smooth implementation of staff transfer processes in compliance with HR policies

5. HR Operations & Employee Support
  • Handle day-to-day HR queries, ensuring timely resolution and maintaining a congenial work environment

  • Participate in recruitment processes through candidate screening, test coordination, and onboarding facilitation

6. Field Monitoring & Policy Compliance
  • Conduct regular field visits to ensure proper policy implementation, identify service delivery gaps, and recommend improvements

  • Act as the liaison between HQ and field/branch offices to standardize practices and resolve inter-departmental issues

7. Data & Record Management
  • Regularly update HR records in ERP and EDMS systems to support payroll and audit requirements

  • Maintain employee verification protocols, including background checks for new and existing staff


Safeguarding Responsibilities:
  • Uphold the organization's safeguarding policy to protect programme participants, staff, and stakeholders
  • Promote a safe and inclusive workplace by ensuring safeguarding standards are applied in all HR processes
  • Report any incidents as per the safeguarding reporting procedures and encourage others to do the same
  • Serve as a key support resource on safeguarding matters and workplace safety
