Responsibilities & Context

  • Documentation and Database Management (35% of time)
  • Maintain organized, accurate, and confidential personnel files for all staff, ensuring compliance with privacy standards.
  • Digitize and securely store personnel documents in a cloud-based system or ERP for easy retrieval and protection.
  • Regularly update databases with staff movements, including new hires, internal transfers, and departures.
  • Ensure proper documentation and compliance during staff separations, including exit interviews and final settlements.
  • Volunteer Coordination and Management (30% of time)
  • Oversee volunteer program activities to ensure that goals are met and resources are utilized efficiently.
  • Ensure effective management of volunteer resources (human, financial, and material) in line with project requirements.
  • Conduct regular assessments of volunteer performance and project outcomes, documenting lessons learned and suggesting improvements based on field feedback.
  • Operational Support (20% of time)
  • Respond to staff inquiries related to P&C policies, medical claims, leave, timesheets, travel, resignations, and appraisals.
  • Prepare necessary documentation such as Payment Request Forms (PRF) and Material Request Forms (MRF).
  • Facilitate onboarding by issuing ID cards, medical insurance cards, and handling necessary documentation.
  • Coordinate with banks for salary account openings and assist in obtaining RRRC cards for staff.
  • Support staff in distributing salary certificates and assist with uploading tax acknowledgment receipts into the ERP system.
  • Generate quantitative People & Culture reports as needed and draft official documents like No Objection Certificates (NOCs), salary certificates, and experience letters.
  • Recruitment Support (10% of time)
  • Communicate professionally with potential candidates, managing interview logistics and coordinating assessments.
  • Handle scheduling, resource booking, and ensure interview panel coordination.
  • Manage reference checks and prepare attendance records for interview sessions.
  • Ensure candidates complete conflict-of-interest declarations and guide selected candidates through the onboarding documentation process.
  • Support formal induction programs, facilitating initial orientation and guiding new hires.
  • Logistics Support for People & Culture and Safeguarding Team Events (5% of time)
  • Assist in identifying and securing appropriate venues for team events, ensuring they meet capacity, accessibility, and technical requirements.
  • Organize and manage event materials, including seating arrangements, audio-visual equipment, and necessary supplies.
  • Coordinate with external service providers (caterers, equipment rental companies) to ensure timely and quality service delivery.
  • Manage invitations, registrations, and confirmations, ensuring clear and timely communication with attendees.
  • Provide logistical assistance during events, ensuring smooth setup, technical troubleshooting, and post-event breakdown.
