Daily Responsibilities:
Develop, implement, and maintain departmental Standard Operating Procedures (SOPs).
Manage the Managing Director’s (MD) calendar and schedule meetings.
Monitor and share important emails with the MD and relevant team members.
Answer and direct phone calls to appropriate persons or business units.
Receive and manage invitations through email and digital platforms.
Facilitate communication across all business units and departments.
Monitor MD’s office supplies and inventory with support staff access.
Stay updated on the latest AI software developments and tools.
Oversee all administrative tasks related to the MD’s office.
Process bank cheque clearances with approval from the Group Head of Finance or unit Manager.
Review and verify all documents requiring the MD’s signature for accuracy and completeness.
Share daily MD office reports via WhatsApp.
Weekly Responsibilities:
Follow up on weekly or biweekly reports from business units.
Provide the MD with allotted allowances.
Manage payables, receivables, and personal cheque handling.
Monthly Responsibilities:
Attend and participate in monthly budget review meetings.
Oversee credit card bills, personal bank accounts, and ensure payments per MD’s instructions.
Receive remuneration from business units and deposit into MD’s tax account.
Monitor monthly rental property payments and utility bills, including Bakrail fund status.
Annual Responsibilities:
Maintain tax filings, HST, and property taxes for the MD and unit Chairman; coordinate with the tax lawyer on documentation and deadlines.
Track and coordinate Munshi company license renewal with the Corporate Affairs Manager.
Monitor and ensure progress of SBU and departmental business plans according to timelines.
Ad-Hoc / As Needed Responsibilities:
Support the Chairman and Executive Assistant during their absence.
Coordinate with foreign clients and issue invitation letters with MD’s approval.
Assist business development communications with corporate affairs and units.
Manage MD’s flight and hotel bookings, prepare travel itineraries, and schedule international meetings.
Monitor MD & family properties domestically and internationally.
Track Quarterly Business Review meetings and Foreign Consultant evaluations.
Review and manage service agreements and MOUs for the business unit.
Draft and send emails on behalf of the MD.
Maintain invoices, accounts payable/receivable, and MD’s personal cheque book.
Monitor foreign currency rates and handle remittance transactions as needed.
