Develop and implement the department’s Standard Operating Procedures (SOP).
Schedule meetings and manage the Managing Director’s (MD) calendar.
Review important emails, share updates with the MD and concerned departments.
Answer and route phone calls to relevant persons or business units.
Manage and respond to meeting invitations via email and digital platforms.
Facilitate effective communication between all departments and business units.
Supervise MD’s office inventory and coordinate with support staff for supplies.
Continuously enhance skills using ChatGPT and stay informed on the latest AI tools.
Oversee all administrative activities related to the MD’s office.
Process bank cheque clearances with approval from the Group Head of Finance & Accounts or Unit Manager.
Verify all documents requiring the MD’s signature for accuracy and completeness.
Share daily updates with the MD via WhatsApp.
Follow up on weekly or biweekly reports from all business units.
Provide assigned allowances to the MD.
Manage payables, receivables, and personal cheques of the MD.
Attend and document Monthly Budget Review meetings.
Manage MD’s credit card bills and personal bank transactions as instructed.
Collect remuneration from business units and deposit it into the MD’s tax account.
Oversee monthly rental property payments and monitor any pending bills (e.g., Bakrail fund, utilities).
Handle tax filing, HST, and property tax for the MD and Chairman, liaising with tax lawyers for documentation and deadlines.
Coordinate company license renewals with the Corporate Affairs Manager.
Track progress of business unit and departmental business plans against set timelines.
Act as Executive Assistant to the Chairman or other senior leaders when required.
Coordinate with foreign clients and issue invitation letters with MD’s approval.
Support business development communications with Corporate Affairs and other units.
Manage MD’s flight and hotel bookings, prepare travel itineraries, and arrange meetings abroad.
Monitor MD and family property records in Bangladesh and overseas.
Track Quarterly Business Review meetings and foreign consultant evaluations.
Review and manage service agreements, MOUs, and related documents.
Draft and send emails on behalf of the MD.
Maintain invoices, accounts payable/receivable, and the MD’s personal cheque book.
Monitor foreign currency rates and manage remittance transactions.
